Terms, Privacy, Informed Consent & Refunds Policy

1. Introduction

The VAW VRC VUQ Foundation (“the Foundation,” “we,” “us,” or “our”) is committed to protecting your privacy, ensuring transparency, and providing clear terms for membership, donations, and events. By using our website or participating in Foundation activities, you agree to the following Terms, Privacy Policy, and Refund Policy.

2. Membership Terms of Service

Membership levels, benefits, fees, and associated rules are determined by the Board and may change periodically. Members are responsible for maintaining accurate profile information. Misuse of member data, harassment, or fraudulent behavior may result in suspension or termination of membership.

2.1 Member Directory & Profile Information

The membership directory is for personal and professional connection only. Members may not use directory data for commercial, political, or mass communication purposes.

2.2 Events

Event registration is required for all Foundation events. Participants agree to follow event rules and venue policies. The Foundation may remove individuals whose behavior is unsafe or disruptive.

2.3 Payments & Auto-Renewals

Payments are securely processed via Wild Apricot Payments (AffiniPay). The Foundation never stores credit card information. Auto-renewal settings may be adjusted in your member profile.

3. Privacy Policy

3.1 Information We Collect

We collect personal information such as name, email, phone, address, military status, membership level, donation history, and event participation information. Payment card data is never stored by the Foundation.

3.2 How We Use Your Information

Information is used to manage membership, events, donations, communication, and community records. We never sell personal information.

3.3 Who Can See Your Information

Visibility depends on your profile privacy settings. Administrators may access information as needed for operations.

3.4 Data Security

We protect your information through secure hosting, encrypted connections, role-based access, and PCI-compliant payment processing via AffiniPay.

3.5 Data Retention

We retain donation and membership history as required by law. You may request account deletion at any time.

4. Informed Consent

By providing your informed consent where indicated, you acknowledge that you have understood the information below and agree to participate in our text (SMS) messaging service. Consent is not a condition of purchase. Message frequency may vary. Message and data rates may apply. Reply HELP for help or STOP to opt-out.

5. Refund Policy

5.1 Membership Dues

Membership dues are non-refundable. Errors in level selection may be corrected within 30 days of payment.  Membership downgrades or changes made after payment do not result in refunds or credits. 

5.2 Event Registrations

Refunds may be issued if requested at least 14 days before the event. Transfers may be allowed. If an event is cancelled, a full refund will be issued.

5.3 Donations

Donations are non-refundable except in cases of error or duplicate transactions.

4.4 Dispute Resolution

Please contact us before initiating a chargeback; most issues can be resolved quickly.

6. Changes to These Policies

Updates may be made periodically. Continued use of the website or membership constitutes acceptance of updated terms.
